Maybe there are some other programs with the name OneNote, but today I will tell you exactly about the program that is included in Windows 10. OneNote goes like a tiled program, I personally have it in the Start menu and I need it in order to write something down, well, what you need to remember. This is, so to speak, electronic Notebook, where you can write anything, you can even draw ..

I read on the Internet that it seems like OneNote is especially convenient for those who have tablets, because there is a handwriting function. Honestly, I have a lot of thoughts and it happens that I write something down, so I also became interested to look at this OneNote, maybe this program will come in handy for me? Moreover, the program is free and you can download it from the Microsoft website. The fact is that on my test computer I have regular Windows 10, but on the main computer I have Windows 10 LTSB, this version does not have OneNote, there are also no other tiled programs. Although, I just thought, but in this case, I can install OneNote at all? Well, okay, I'll find out everything later, but now we will get acquainted with the program

Well, let's try now to run this OneNote program? In general, I launched it, the following window appeared:

That is, here we need to log into Microsoft for this program to work. Hmm, here you need to think a little .. In short, I select the second item, well, that is, a Work or school account, then an input field for phone or mail appeared, I wrote a mail here and clicked Next:

And to be honest, I don't quite understand here, that is, it turns out that we need to enter the password for the Microsoft account, right? Well, and I'm not registered there .. Yes, that's right, registration is needed here, because even when I tried to recover the password, it was written to me that you, as an identifier, are not in the Microsoft database:


That is, one conclusion can already be made in order to use the OneNote program, then you must definitely be registered with Microsoft, and this personally annoys me a little

Okay, so what am I going to try to do? I launched the OneNote program again, then I chose Personal Account Microsoft, well, I tried to register. I filled in all the fields, then clicked on Next:

Well, I clicked on the Confirm button, then the page loaded, I closed it and went to the OneNote program, there I was asked to enter Windows password, but since I don't have it, I just clicked on Next:



These are kapets guys, but I already thought that I would need to do something else in order to launch this OneNote program, but hurray, it seems that the hemorrhage is already over, because I saw that everything is ready, it remains only to click on the Open OneNote button :

And this window, it has been hanging with me for about five minutes for sure .. I don't know what it does there ... Honestly, I was already beginning to think that maybe there might be some kind of glitch? In short, guys, my patience has run out, it has been hanging for about 15 minutes, it's unrealistic a lot, I close the window, reboot and start the OneNote program again! And you guys know what? A joke was waiting for me here too! In short, I registered with Microsoft for the OneNote program, right? Well, now I have an account Microsoft entry, and to enter the computer, well, that is, in Windows, then I had to enter the password for the account. So here are the things guys, know that by registering with Microsoft for the OneNote program, you are registering with a Microsoft account, which will be used as your account! But since you set the password for the account, then when you enter Windows, you will be required to have this password! Well, is it more or less clear to you? I hope so, yes. In general, I entered the password (it's good that I wrote it down at least), then Windows booted, now I started OneNote again, and this time it already started normally, this is how this program looks like, I expanded the window to full screen:


Well, let's see what this OneNote program can do? So in the upper left part there is such a button as Page, so I clicked on it, a new entry immediately appeared, so to speak, so I wrote the following text there:

Excuse me, of course, I just don't know this program myself, but I'll show you a little what I understand here myself, that is, I'll figure it out. You see, at the top there are buttons, well, or tabs, such as Home, Insert, Draw, View. Well, here I chose the Drawing tab and I managed to draw here, and look, it turns out that both text and drawing can be done in one entry, so to speak:


At the top there are all sorts of tools, well, to draw. You can also choose a color. If you need to erase something, that is, an eraser, to turn it on from you need to click on this button:


On the Insert tab, you can insert something into the record, for example, I inserted a picture and this is what happened:


The picture was inserted normally, is it possible to move it to another place, then I do not know, I tried it, but I personally did not succeed. Maybe there is no such function at all.

You can also insert a paragraph, but not a simple one, but with an icon, for this there is such a menu:

In general, guys, I think it's more or less clear how to use OneNote, right? To use, then of course you need to be registered with Microsoft, then you start OneNote, create a record there, write something, insert pictures, draw there, well, in short, do what you want. Then you can close OneNote, then start again and the record will contain everything that was at the time of closing. Well, that is, the OneNote program saves everything, you will not lose anything. It is also important that all your records will be, as it were, in the Microsoft cloud, what does this mean? Well, that is, on another computer, on another Windows 10, you can go to OneNote using your mail and password, and after that you will be shown all your notes. These are the pies guys

Well guys, in principle, there is nothing complicated in the OneNote program, and I think that everyone can master it. It's another matter, will you like this program? I personally didn't like it very much, but this is for me personally, but you might like it. The hardest thing, or rather not entirely pleasant, is that you need to register to start using OneNote, well, here's an unpleasant joke And of course another joke is that when registering, you get to create a Microsoft account, set a password, and like me wrote, you will need to enter this password when you enter Windows. Can this be fixed? Can you guys, for this you need to disable the password prompt at login, do you know how to do this? I'll show you now, look, hold down the Win + R buttons, the Run window will appear, you write the following command there:

Well guys, now it remains for me to show you how to remove OneNote from your computer completely. However, I want to warn you that it seems that if you delete OneNote, then it can no longer be restored. I'm not sure about that, but it seems to be the case. Well, to uninstall OneNote, you first need to run something like Windows PowerShell, at the bottom of the taskbar there is a Windows search, so I typed in Windows PowerShell there and it then appeared in the results, well, there I right-clicked and selected Run as administrator:

Then a blue window appeared, well, how command line, only the window is blue and the title says Administrator: Windows PowerShell, in general, I inserted the following command into this window:

Get-AppxPackage * OneNote * | Remove-AppxPackage


Then I pressed enter and then something was written there, I didn't even have time to read what exactly, as a result, nothing seems to be written in the window, well, there is a success or an error:

"Pull yourself together, rag!" - I said to myself when I realized that the work would soon finish. Either she is you, or you are her.

Endless attempts at GTD programs did not bring happiness. Interfered with comfortable work a large number of data.
It was not possible to link tasks and data within one GTD program. The stream of letters was stored in Outlook, documents and other files on disk, some information on web resources, and so on. In solving cases, you had to spend time searching for related data. There were problems synchronizing information on different devices and much more.

But he who seeks will always find! The way out of the stalemate was Microsoft OneNote 2013, which simple settings easily turned into a full-fledged GTD tool. Only this approach allowed us to overcome all the problems and feel the comfort from using the GTD.

By its purpose, Microsoft OneNote does not belong to the group of programs for GTD and is an electronic version of the notebook. More precisely, this is a program in which you can create an almost unlimited number of notebooks. OneNote notebooks are suitable for storing any personal information and data. The inner content of the books is divided into sections (sections). Sections contain pages. It is possible to build a hierarchy of pages.

Thanks to its architecture, OneNote is easy to configure to get things done.

Collection of primary information

One of the main principles of GTD is to get rid of all unnecessary information from your head. As David Alan says, our minds are not suited for storing ideas, but for generating them. Therefore, all the primary information coming from external sources and which requires comprehension, we transfer it to the OneNote Inbox section. Letters, documents, ideas, thoughts, plans and so on. Create a separate page for each information item.

Treatment

We periodically process the data accumulated in the "Incoming" section. Thinking about what to do with this? How much collected information important to us, whether it is a reference, a task or a project. Or is it a reminder of upcoming events? Or just rubbish?

Organization

You have to do something about it

If the information requires us to take any action, we transfer it to the "Tasks" section.
Or we do it right away if it takes less than two minutes

We analyze whether it is possible to complete the task in one action, or if this requires more steps.
For single tasks, set one of the tags in the page header:
  • Now- the highest priority task
  • Then / Postpone- a less priority task, you can postpone it for now
  • Commissioned / Control- the task is in the process of discussing or waiting for external events
If several steps are required to complete the task, we mark it with the "Project" tag.
We carry out natural planning (defining goals, desired results, brainstorming, defining specific actions). Add children to the project page. Child pages are a sequence of tasks that must be completed to successfully complete a project.


It is convenient to add tags using the hotkeys Ctrl + 1, Ctrl + 2 and so on.

On the pages we place all information related to the task or project.
We copy files, letters, documents, pictures, links and so on.
Although, to be honest, not everything is so simple with projects. How to organize them is a personal matter for everyone. You can, for example, create a separate section for them, or even a group of sections. In a section group, each tab will correspond to a separate project. This is convenient if there are a lot of tasks within the project. On the other hand, with big amount projects have a chance to get confused in bookmarks.

You don't need to do anything

All data from the "Incoming" section, which does not require any action, are processed according to the following rules:
  • we delete information of no interest;
  • important reference data, which may be useful, we transfer to the group of sections "Reference information";
  • tasks that require additional comprehension or for which the time has not yet come,
    move to the "Sometime" section; for of this type pages we put the tag "Sometime".

Scheduling tasks

There are things that need to be reminded and done at a certain point in time. Unfortunately, OneNote doesn't have an internal reminder mechanism. However, for those with Outlook, there is a workaround. On the OneNote page, just add any flag from the Outlook Tasks list, and Outlook will automatically create a task with a link to the OneNote page.

Overview

Any system requires constant monitoring. GTD will work if the user regularly reviews the data. This is a very important process as information tends to become outdated very quickly. The survey is best done daily and weekly at specific times.

In your day-to-day work, it is very convenient to use the Tag Summary panel. It is activated by the button "Find tags".

The panel displays a complete list of tasks grouped by tags. In this case, you can adjust the viewing of only completed or unfinished cases (the flag "Show only unchecked items").

In the beginning, I planned and wrote an article only for colleagues at work. Inspired by the course of Maxim Dorofeev "Jedi technique of empty inbox or how to bring things to the end." As it turned out, the problem of choice software for GTD is relevant for many. Not finding in the Russian-language part of the Internet information about using OneNote together with GTD, decided to publish the article for a wider range of readers. The article tried to describe the most balanced configuration option, worked out in practice.

Do you use OneNote as part of Microsoft's Office suite? The electronic notebook is very convenient for taking notes and storing information, and also offers many other great functions. For example, you can use it to keep to-do lists and organize the most that neither is a time manager. Let's figure out how.

Using keyboard shortcuts

Like any application, OneNote has its own shortcuts, the most common of which are easy to remember. So, by pressing the combination Ctrl + 1, an empty square will appear on the left of the current line or paragraph - a checkbox for filling with a tick. Pressing the same combination again will fill the checkbox with a checkbox (the checkbox will simply disappear after the third press), or you can check or uncheck the checkbox with a simple mouse click.

Similarly, when combined with with the Ctrl key other numbers work as well. So Ctrl + 2 will add an asterisk icon, which can be used for important notes, including in the list, and Ctrl + 3 will add a question mark.

These elements are called tags. They are also available on the ribbon menu via the Home tab and Tags area. In particular, by clicking on the "Find Tags" button here, you can get a list of all records marked with a particular tag.

In addition, the combination Ctrl + u will create bulleted list, the use of which, along with the checkbox for ticks and marks of importance, may be quite sufficient for forming to-do lists.

Files at hand

It often happens that it is difficult for us to remember where this or that file was saved, especially if it was a long time ago. OneNote suggests not to bother in this regard, but to immediately insert files into notebook entries. This will be especially true if your to-do list later requires using specific files from the device.

Add office documents or PDFs, videos or music to OneNote. You can simply drag the file into OneNote, after which a shortcut to the document will be automatically created and you will no longer have to search for it. It can be opened later with a double click (audio and video can be played directly in OneNote).

Outlook connection

OneNote itself is a very useful solution, but in conjunction with an email client, Outlook can become even more functional. When you create appointments in your Outlook calendar, you can add notes from your notebook to them using the Meeting Notes button. In this case, notes can be either yours personally or shared by all participants.

In addition, cases and tasks created in mail client from Microsoft can also be linked to the OneNote app. At the same time, it will be possible to mark the task as done directly in the electronic notebook. In OneNote itself, tasks for Outlook are conveniently created through the ribbon menu, the "Home" tab, the "Tags" area, and the "Outlook Tasks" button (this way you can immediately set the due date of the task).









Mail client Microsoft Outlook 2016 allows you to use it as a full-fledged organizer. Here you can keep events in the calendar, a to-do list with reminders and all kinds of notes.


Do not forget about the task

Perhaps the biggest problem with paper to-do lists is that they take up space. Whether it's a notebook, a sticker, or just a piece of paper. And there is always the possibility of losing your records or not taking them with you when you need them.

There is no such problem with a digital pad. OneNote is available on all possible platforms, so if you're not in the habit of leaving at home mobile phone then your notes will always be with you. And even if you do not have the corresponding application installed on your mobile device, you can always access your notebook via the Internet (including this can be convenient if you are not using your computer - just log in to office.com under your account and get access to your office documents).

In addition, the presence of OneNote on mobile devices allows you to always quickly make notes, including adding new tasks for yourself, at any time - whether you are traveling in transport or are at a business lunch. An idea came - they wrote it down. The phone is always at hand. As a last resort, you can use the audio recording option, which is also available in OneNote, if you are not comfortable typing in text for some reason.

OneNote look

OneNote's standard view convenient form gives you access to your notebooks and records in them, without overloading with unnecessary information. However, when working with to-do lists, displaying all of the sections in full might simply be redundant.

Through the ribbon menu in the "View" tab, you can switch the display to "Page view" so that nothing distracts from the information. In this case, the size of the window with the mouse can be made more compact. Or, in principle, you can select the "Pin to Desktop" option. In this case, your notes will be neatly arranged on the right side of the screen on top of other windows.

This view can be very convenient when you are looking for some information on the Internet, for example, preparing for a vacation, or just constantly working on your computer. The to-do list is always at hand. In addition, this view will be relevant if you use the option of linking files of different office applications e.g. OneNote with text editor Word. Check if this option is enabled in currently you can click on the link icon in the upper right corner.

Microsoft has recently been trying to adopt an image of a user-friendly company. This is best seen in the way the company has rethought the direction of mobile software. For several years, iOS users were content with a miserable semblance of Office, and then suddenly got the whole set, fully functional and even without a paid subscription.

In the Office suite, noteworthy OneNote has never taken the lead. Rather, it was a niche product for hobbyists who liked to carefully structure their notes into notebooks. With the arrival on iOS, everything has changed - OneNote can be used anytime, anywhere and for completely different tasks.

I've tried a lot of apps in the AppStore that could be tailored for keeping personal records. Paid for a premium Evernote account, happily pounced on Google Keep and tried to learn Zen with minimalist Simplenote. This time, as an experiment, I tried to transfer notes to OneNote and remained puzzled.

A Microsoft account is required to use the application. The application from somewhere automatically pulled up my data, so I didn't have to go through the dull authorization procedure.

Then everything did not go so smoothly, since synchronization is traditionally not the most strong point Microsoft. After several unsuccessful attempts, the application realized what data needed to be pulled from the cloud. OneNote is using OneDrive space, and since I have Office 365 I was potentially getting 1TB of records in cloud storage... Reliable synchronization would be more useful.

The organization of notes in front of other applications is unusual and takes some getting used to. The application allows you to open thematic notebooks, separate sections are created in them, and pages are created in the sections. At first, you can get confused and litter everything with situational recordings. The peculiarity of OneNote is that it is demanding on the user, since the service provides a powerful set of tools, but does not interfere with their use.

An unobvious feature - notebooks are not deleted, but closed. Then they are stored in OneDrive, from where they can be restored. It seems to be convenient, but Microsoft did not bother to tell about it until I found the files in my OneDrive, although I considered them to be deleted.

It is noticeable that Microsoft is trying to find a way out of the "five percent" problem. So recently they call a situation in which most users use only a small part of the application's capabilities and do not even know about the rest. OneNote has different functionality on iPhone, iPad, and desktop clients. The iPhone app is the simplest. And for most tasks, it turns out to be enough: it is convenient to create lists, format text and add attachments.

It is worth mentioning the attached files separately. In addition to support for iCloud Drive, the application has its own camera, which has several presets: for ordinary photos, for documents and for pictures from the whiteboard. The recognition quality does not raise any questions - you can safely abandon scanner applications. In this way, Microsoft is hinting that OneNote is aimed at students. The company also provides an educator version in specialized Office suites.

The Office ecosystem is the trump card that OneNote puts on the shoulder of the competition. The app allows you to open and edit inside notes Word documents and supports pasting items from Sway, Excel. On the other hand, it will not be possible to create these attachments in the mobile client - the company is just right to remind about the concept of the "post-PC" era.

The situation is different with the iPad app. If on a smartphone OneNote is just enough for basic tasks, then on a tablet there are, as they say, a lot of functions. They are divided into four tabs: home, Insert, Painting, View.

home Responsible for formatting text, creating lists, labels and styles. In the tab Insert there are tables, pictures, a camera, audio notes and an explorer for iCloud Drive. There are also tools for inserting links, mathematical formulas and the current date. View- the most boring menu, where you can adjust the position of the text, protect the note with a password or disable spelling. The only interesting thing is setting the color and style of the paper.

Separately, you need to talk about drawing in OneNote. You can use a pencil, felt-tip pen or marker, adjust the thickness and color, and connect a stylus - Pencil by FiftyThree or another pen. Why the developers skimped on the virtual ruler, as in the standard Notes for iOS, is a big mystery.

On iPad notes positioned as blank sheets. You can drag and drop text and type anywhere. To my iPad Mini Retina clearly lacked the diagonal to comfortably create large drawings or sketchy sketches. I'm not going to complain - drawing is geared towards large screens.
