The experience of introducing its mail server in company

  • Lumber room *

Background

When I came to work at the company, mail was running on a small Internet server with almost no administration capabilities. It took 5 minutes to create the box, but the restrictions that were imposed on it were draconian.

At that time, there were about 50 mail accounts and each account was allocated 50 mb places.

It was not possible to monitor the overflow because The mail did not have a normal web muzzle, but had only a script connected via IMAP / POP3, which pumped out mail. All clients were connected via ThunderBird and for a while everything was fine ( Horrible…).

Tie

The constant growth of the company has led to the issue of mail. What to do and how to be? I undertook to decide this question and began walking around the forums in search of the best solution. I will say right away - I did not consider the Linux options due to the work of the whole company on Windows. The chief said - Vinda means Vinda. In addition, I am a supporter of the fact that Windows works fine if you configure it properly.

Among others, I have identified 2 options - Kerio connect and Microsoft Exchange... The first was in favor of the presence and experience of working with Kerio Control (ex. Kerio Firewall), in favor of the second was the initial focus on Windu and the needs of the company.

Since the price of the issue at that time was significant, a survey of all users was carried out. It is not surprising that after the horror that came before me, the idea was received with a bang.

HP ProLiant DL380 (single-unit server) was "almost" idle in the zagashniki. It was decided to put mail on it (looking into the future, I will say that later there were both a web server and an ftp server).

But I moved away from the topic. After the questioning, I went to my superiors (first to my immediate, then to my superiors). The Exchange issue was hacked to death immediately because of the cost. But Kerio survived, and the experience of using a neighboring product also affected.

After paying the bill, we received a server license and 200 accounts. And it rushed ...

Working with the server

I will skip the installation questions as they did not cause problems. It is placed according to the "Next-Next-Finish" principle.

The server immediately asked for 350+ GB storage. I was surprised. Later I realized that the server immediately filled up space for itself with a margin for comfortable work.

For a year of working with the server, I transferred some of the people to the web face, some remained on ThunderBird, some were hooked with Keri's pribluda - Kerio Outlook Connector (By the way, all the features of this product work with this feature)

I had to suffer only about a month of periodic adjustment. Now I hardly monitor the server anymore. Configured forwarding, spam filters, notifications.

In general, the mail task has been solved (all users now have 1 GB of space). More space could have been given, but in such a simple way our department still teaches people to clean their mail from time to time. For those who really have a lot of important emails, the limit has been increased to 1.5 GB (and this is also not the limit).

From the user's side, the server looks quite solid and at the same time does not scare you with the number of settings. Advanced users find the "Settings" button on their own and modify the type of mail to suit their taste. Non-advanced users don't even bother with searches (which makes the admins incredibly happy).

From the admin side, I ran into a bad thing - I cannot view the mail of other accounts (even as an admin). I wrote about this to support, but there is no answer (and I did not hope). I got out of the problem simply by writing a script that periodically in the files on the server registers me as the administrator of all mailboxes. It doesn't affect the user experience, and it's much easier for me to solve problems.

Preconclusion

Now the company continues to actively move forward and Kerio no longer meets all the requirements (such as the introduction Active Directory) - or rather, it can be configured, but in this situation it was decided to wait until we reach the deadline again, and then we’ll think about buying Exchange this time. The bosses think - I do it. (I have not yet grown to the level of the head).

Conclusion and verdict

If you want to maintain mail in the middle hand of the company - 100-300 pc, do not bother with a huge bunch of settings and do not pay too much - you will like Kerio, but if you have the prospect of growing up to 500+ computers, then this server will no longer withstand the conditions in which you place it (or you will not withstand).

But one thing I can say for sure - for the start and gaining experience - this is perhaps the best solution... I came to the company, absolutely not knowing how the mail works. Now I can give a short lecture and add my comments to this.

P.S. I deliberately did not indicate prices and pictures, because I think that for each company its own approach is important, right down to writing the server itself (fortunately, this is not as difficult as it might seem at first glance).

Thank you for your attention, I will be glad to answer your questions.

I got tired of setting up mail in my office, so I decided to write this article. All office mail was previously received by the provider, then through the Kerio Mail Server it was distributed to local network clients.

For many years everything worked fine, recently the technical support of the provider decided to save their resources and all mail was transferred to Yandex.Mail. Moreover, they did not even report the changes: not by an official letter and there was no phone call. After that, the "rake" began in the office, incoming and outgoing mail ceased to work, respectively. However, I quickly managed to set up the work of incoming mail on Kerio Mail Server, but I had to suffer with outgoing mail.

Incoming mail at the office via Kerio Mail Server with Yandex.Mail

V Kerio settings Mail Server: Configuration Menu - POP3 Download, edit the line on the right. Clicking the "Edit" button will open the "POP3 Account" window.

1. In the "POP3 Server:" field, enter pop.yandex.ru.
2. In the "Username POP3:" field, enter the old postal address of your office, the same E-mail that we use in Yandex mail.
3. Your provider saves the password, so you can specify Old Password... If you want to change it, you first need to do this in the Yandex.Mail settings (Settings link, the Mail path> Settings> Security).

Incoming mail must be accepted on computers on the local network. Settings account on the local computer remain the same in the program that previously received mail.

Outgoing mail in the office via Kerio Mail Server on Yandex.Mail

Configuring outgoing mail in Kerio MailServer is done by analogy with incoming mail. In Kerio Mail Server: Menu Configuration - SMTP Server edit in the window on the right, the "SMTP Delivery" tab. Check the box "Use SMTP relay server". Most likely, you still had a checkbox ..

1. In the field "Relay server name:" smtp.yandex.ru
2. In the "Relay server port:" field, specify the port number 25
3. In the "User:" field, enter the old mailing address of your office and below the password.

If SSL is used, check the box below, the port will change to 465. The general Yandex settings say: In case you cannot use a secure connection, you can connect to the SMTP server on ports 25 or 587.

4. And now important point: in the mail program, in the account settings on the local computer, change the "Email" field on E-mail postal the mailbox that you have located on Yandex.Mail. The same E-mail was entered in Kerio MailServer, in the "Username POP3:" field and in the "User" field in the SMTP settings. Leave the rest of the settings in the mail program on the local computer unchanged.
